Regions and public holidays
A region decides which public holidays apply to the people in it. Approved public holidays reduce capacity automatically, the same way approved leave does, so nobody has to book them as leave. The workspace Owner and Admins manage regions on Settings > Regions.
Your default region
Section titled “Your default region”Every workspace has a default region, created the first time anyone uses leave or the calendar. It takes the workspace’s region, time zone and currency, and the matching public holiday calendar: an Australian workspace in Sydney starts with New South Wales holidays, Melbourne with Victoria, and so on. Anyone you haven’t put in another region follows the default one.
To make a different region the default, select the star next to it.
Add a region
Section titled “Add a region”- Go to Settings > Regions and select Add region.
- Enter a short code (for example
NZ) and a name. - Enter the currency (for example
NZD) and choose the time zone. - Enter the holiday calendar: a country code such as
NZ, or a country and state such asAU-VIC. Leave it blank to enter holidays by hand. - Select Save.
A region can be deactivated (edit it and clear Active) or deleted once nobody is in it. The default region can’t be deleted.
Public holidays
Section titled “Public holidays”Choose the region and the year under Public holidays.
Pull holidays
Section titled “Pull holidays”Select Pull public holidays. ProjectSmith fetches that year’s public holidays for the region’s holiday calendar: the national days plus the days of its state, if it has one. New days arrive Awaiting approval and don’t affect capacity until you approve them.
A pull never changes a day you’ve approved, entered yourself or rejected, so it’s safe to run again. Each workspace can pull up to six times a minute.

Approve or reject
Section titled “Approve or reject”Use the tick to approve a day and the cross to reject it, or Approve all for every day awaiting approval. A rejected day doesn’t count and isn’t offered again by later pulls. Approving it later makes it count.
Enter a holiday by hand
Section titled “Enter a holiday by hand”Enter the date and name and select Add. Days you enter are approved straight away. Entering a name on a date that already has a holiday replaces it.
Put people in a region
Section titled “Put people in a region”Under People, choose each person’s region. Default means they follow the default region, and move with it if you change the default.
Common questions
Section titled “Common questions”Do I have to approve every pulled holiday? Yes. That’s deliberate: some pulled days (a regional show day, a substitute day) don’t apply to every business, and nothing changes anyone’s capacity until you’ve checked it.
Are next year’s holidays pulled automatically? Once it’s switched on for your workspace, ProjectSmith pulls next year’s holidays for every region with a holiday calendar each October, ready for you to approve. Ask support if it isn’t on yet.
Where do I see the holidays that apply to me? On the team calendar.
