Project reports
The project report puts every project on one page: how far along it is and what is overdue, beside what it was budgeted, what it has cost so far, where it is heading and the next billing milestone.
It needs a Planner seat. People on a Member seat don’t see it.
What each column means
Section titled “What each column means”| Column | What it shows |
|---|---|
| Status | The project’s status: Active, On hold, Draft or Closed. |
| Manager | The project’s manager. |
| Progress | Hours earned against the project’s task estimates. A task marked done counts in full; an open task counts the hours logged on it, up to its estimate. A project with no estimates counts done tasks against all tasks. |
| Overdue | Open tasks whose due date has passed. |
| Budget h, Actual h, Forecast h | The hours budget, the approved hours so far, and the hours expected at completion (approved, plus awaiting approval, plus the estimate still to do on open tasks). |
| Variance h | Budget minus forecast. A negative number means the project is heading over its budget. |
| Budget, Actual, Variance | The same in money, in your workspace currency. Actual is approved time at each person’s cost rate plus approved costs and expenses; the small figure under it is the forecast. The badge says whether the forecast is on track, at risk (over 90 percent of the budget) or over budget. |
| Next milestone | The next billing milestone by date, its date and its state: Planned, Ready to bill, or Late when its date has passed and it hasn’t been marked ready. |
Budgets and milestones are set on each project’s Budget tab. A project without a budget shows a dash for the budget and variance.
Filter and sort
Section titled “Filter and sort”- Go to Reports > Project reports.
- Choose which projects to include under Status: open projects (everything except closed, to start), all projects, or one status.
- Choose a project manager to see only their projects.
- Select any column heading to sort by it; select it again to reverse the order. Projects without a figure for that column go last.
The total row adds up the overdue tasks, hours and money of the projects shown.

Export
Section titled “Export”Choose Export CSV to download the projects that match your filters, one row per project with every column above. The file opens directly in Excel. Text that a spreadsheet could treat as a formula is made safe first. Every export is recorded in the workspace’s audit log.
Common questions
Section titled “Common questions”Why is a project’s progress low when most tasks are done? Progress weighs tasks by their estimate, so one large unfinished task can outweigh several small finished ones.
Why don’t the actuals match Autotask? Actual hours and money count approved time only. Time that is still waiting for approval is in the forecast, not the actuals.
Why can’t I see this report? It needs a Planner seat. Ask your workspace Owner or an Admin for one.
