Sign-in options

There are two ways to sign in to ProjectSmith. Both are run by Microsoft, so passwords and authentication methods are held by Microsoft, not by ProjectSmith: email sign-in uses Microsoft Entra External ID, Microsoft’s sign-in service for customer applications, and Sign in with Microsoft uses your organisation’s own Microsoft Entra directory.

Option 1: Email, password and multi-factor authentication

Section titled “Option 1: Email, password and multi-factor authentication”

Works for everyone, with any work email address, unless your workspace Owner has turned on Require Microsoft sign-in. On the ProjectSmith sign-in page it is Sign in with email.

The first time, you create your account; after that, you sign in. A new person has no ProjectSmith account yet, so choosing Sign in first ends with Microsoft saying it couldn’t find an account for your address. Choose Create your account (on the Microsoft page: No account? Create one) and use the email address your invitation was sent to.

The first time

  1. Choose Create your account in your invitation email (or, if you’re signing up, you’re taken there from the sign-up form). The Create account page opens with your email address filled in.
  2. Confirm your email address and choose a password.
  3. Enter the one-time code sent to your email. This is your second factor.
  4. You land in your workspace.

After that

  1. Go to app.projectsmith.io and choose Sign in.
  2. Enter your email address and password.
  3. When asked, enter the one-time code sent to your email.

Multi-factor authentication is required for everyone who signs in this way. It can’t be turned off, by you or by your workspace admin.

If your company uses Microsoft 365, your people can sign in with the work account they already use for Outlook and Teams, instead of a separate password.

Sign in with Microsoft is set up once per organisation, because it connects your workspace to your company’s own Microsoft directory. Your workspace Owner does it in Settings → Single sign-on, with one approval from your Entra administrator. See Set up single sign-on with Microsoft Entra.

  1. Go to app.projectsmith.io.
  2. Choose Sign in with Microsoft (work account).
  3. Sign in with your Microsoft 365 account as usual.

With this option your organisation’s own Microsoft policies apply: its multi-factor authentication, conditional access rules and account lifecycle. When IT disables someone’s Microsoft account, they can no longer sign in to ProjectSmith either. Your Owner can also make Microsoft the only way in for your workspace (Require Microsoft sign-in).

ProjectSmith matches you to your invitation, and to your Autotask resource, by email address. Sign in with the same address your invitation was sent to, whichever option you use. If your Microsoft 365 address and your invitation address differ, ask your workspace admin to resend the invitation to the right one. See Invite your team and assign seats.

The sign-in pages are hosted by Microsoft: email sign-in at an address ending in ciamlogin.com, Sign in with Microsoft at login.microsoftonline.com. ProjectSmith never asks for your password on a page of its own, and never asks for it by email or phone.

I lost access to my email, so I can’t get the code. Ask your workspace Owner or an Admin to contact support, so we can help after verifying who you are.

Can we use another identity provider, such as Okta or Google? Not at the moment. If you need one, tell support; it helps us decide what comes next.

Is my Microsoft password shared with ProjectSmith? No. Microsoft checks it and tells ProjectSmith only who you are.
